How this portal uses your information
This portal is run for Reham Shipping Agency LLC. This page says what it keeps about you, why, where, and how to ask about it.
What we keep
- What you tell us in an enquiry: your name, company, email and phone, and your answers about the goods and the journey.
- Your account: the people at your company who can sign in, their email addresses, and when each signed in. Passwords are kept only in a form nobody can read back.
- The work done for you: quotes, invoices, documents, shipment updates, requests made to you, and updates staff post for you.
- Your conversations with the portal's assistant, and any reply from a member of staff after you ask for a person.
- Emails the portal sends you, and whether they were delivered.
- A record of who did what: who issued you a sign-in link or set your password, who downloaded each document, and who changed an enquiry.
- If Reham Shipping Agency LLC looks after goods for you, a copy of your warehouse stock and documents from its warehouse system.
Why
To answer your enquiries, quote and invoice you, move and store your goods, keep you informed, and keep a true record of what was done and by whom. Your information is not sold, and is not used for advertising.
Where it is kept
In Amazon Web Services' Mumbai region, India, in accounts that Reham Shipping Agency LLC owns. The database is encrypted, every connection to the portal is encrypted, and daily backups are kept for seven days. Each customer sees only their own information: the database itself enforces this, not just the screens.
Who else handles it
- Amazon Web Services hosts the portal and sends its emails.
- Anthropic provides the assistant, and the box on the quote form that turns one sentence into a filled-in form. What you type there is sent to Anthropic to produce the answer. The assistant can only see your own information.
- Speaking instead of typing on the quote form: in Chrome, Edge and Safari your browser turns your voice into text itself, using its maker's own service. In Firefox the recording is sent to Amazon's transcription service in the same Mumbai region, turned into text, and not kept.
- Shipping lines and carriers asked for a price receive the freight details of your enquiry, never your name or contact details.
Cookies
One cookie keeps you signed in. Staff with administrator access also get a second, short-lived one while they type their sign-in code. There are no advertising or tracking cookies, and no analytics.
How long it is kept
A shipment, and everything recorded on it, is kept for 7 years after the last thing that happened on it. An enquiry that led to a shipment or an invoice is kept with that shipment. An enquiry that did not is kept for 2 years after the last reply, quote or note on it. After that, it is removed, with its documents and messages.
